More help with Word, please
« on: August 11, 2017, 10:33:27 PM »
Everyone was kind enough to sort out my spacing in paperback problem, now I have a problem with page numbering. I insert page numbers, set it to footer but after page 3, it only shows even numbers not odd ones. Any help, as always, gratefully accepted.

You might have your 'different odd and even pages' clicked on or off when it shouldn't be. Here are the instructions I follow myself --there are other ways to do it too.

KDP Paperback:
Copy manuscript onto KDP paperback template. Make sure no Compatibility Mode is on.
Rename as KDP Paperback and save in Word.
Turn on hidden symbols.
Eliminate TOC and sample.
Save in (plain) Word (not as 97-2003).
Insert page breaks for Cover page, copyright page.
Center cover page > make Title fonts the size and type you want> colorize them.
On copyright page insert All rights reserved, and ISBN [you may not have the actual number yet].
Open up pages so there is space between them [double cl between two pages].
In Paragraph Box, make sure manuscript has Space between similar paragraphs box unchecked, and Widows and Orphans and the rest of them unchecked.
If there is a blank space on Page One go back and eliminate widows and orphans etc. again.
Change to single space.
Change to indent .02 [in paragraph box,Special > "first line"].
Insert page breaks > add spaces between Chapter Title and Heading if you want them > for opening chapter sentence no indent [in Paragraph Box, under Special > "none"] and in bold.
Section Break Insert: Manipulate Chapter One page so it ends on a paragraph's last sentence.
On Chapter One page, scroll down to last sentence, at right, after space, and click there.
PAGE LAYOUTS > Breaks > Next.
On next page eliminate paragraph if extra one showed up there.
Headers: Go to top of second page and click twice.
Click off Dif First Page.
Click off Links.
On far left, click Header, select middle one > delete Type Here on right and left > type in your name > paint.
Cl Home tab > select font [Candara] and size [9] > italicize.
Cl green Header and Footer Tool tab.
Scroll down to top of next page.
Double cl in top center of page.
Cl off Links.
Type TITLE > paint > Home> select font [Candara] size [9] > italicize > green Header and Footer Tool tab.
Click off Headers > Save.
Page Numbers:
Double click where first page number is going to go.
Click off link.
On far left, cl Page Number.
Cl Format page number > 2> ok.
Again click Page Number on far left.
Select Bottom of Page.
Scroll down to bottom next page [page 3] > double click there.
Click off Link.
On far left Cl Page Number > Bottom of Page > select middle one.
Click Close Header and Footer> Save.
Go through each page looking for an emdash" in its own line if you didn't use sticky emdashes.
Note number of pages, and, get ISBN number and stick in.
Embed fonts:
File
Options
Save (from L menu)
Check embed fonts in the file box.
Make sure NOT checked: embed only the character used in the doc, Do not embed common system fonts > Cl OK.
Make a PDF version.

This is cut and pasted from what I use. The video is useful.

YouTube: https://youtu.be/PHBQIwaC9ts
=============================================

[Scroll down to the page where you want the numbering to start.

Click at the very beginning of the page.

Go to the Page Layout Tab - Breaks > Next Page. This enters a Section Break.

Go to the Insert Tab - Page Number > Bottom of Page, Center.

Uncheck 'Different First Page', Check 'Different Odd & Even Pages'.

Open Header & Footer Tool by double clicking in the footer of the first page where the numbering will start.

Go to 'Page Number' on the left > Format Page Numbers > Start at '1'. (the first odd page'.

Go to the footer of the next 'even' page > Start at '2'.

Return to the number '1' page and unclick (unhighlight) 'Link to Previous'. This will unlink the numbered body of the book from the opening, unnumbered section.

I had a page numbering issue with my last paperback.  I'm very familiar with Word and page numbering (from my former life), so all the 'usual' suggestions people were making were things I already knew, but I just couldn't figure this one out.  I think I also had the "even numbers only" thing happen to me, but that was just a temporary problem until my main problem surfaced.  And unfortunately I don't remember how I solved the even/odd thing.  I think I just kept re-doing it and re-jiggering the page numbers until I got both even and odd.  Then I had my other issue to deal with.   :(  I did "Save As" so often I ended up with a dozen versions of the book before I finally moved on.

Well, thanks all for taking the time. I shall have to study your replies in depth (especially Jenna's  :P) I've only just worked out the page numbers and now I find it doesn't like odd ones. It shows page 3, but nothing after that.

The way Word works when you want to put different things in different parts of your manuscript, is that you tell Word you are dividing the manuscript into sections (that's what the Breaks does).  Then you just put in what you want in that section.

If your pages are cutting off at page 3 it could be that you have inserted a Breaks after page three, so Word is not continuing to put the rest of the pages into (the next section).

No, it doesn't cut off at page 3. Page 3 is the last odd numbered page that it shows. It shows 1 2 and 3 then 4 6 8 etc.

It sounds as if you have, inadvertently or deliberately, divided your document into more than one Section by adding one or more Section Breaks and have assigned differing page number instructions to those Sections.

(Did you ever buy that Word manual that I told you about in the other post?)

I haven't added any section breaks. No, I haven't bought a manual. I'm no good with manuals and stuff; I find it easier to learn what I want when I want it. And I wouldn't know how to assign anything to any sections.

You may have 'different odd and even pages" selected. I don't know if you're using pc or mac (versions in word can look different) but I would check this first. If on PC, it shows when you have the header and footer toolbar up - you can see different first page, different odd and even pages, and on the page itself, on the little tab attached to the dashed line denoting the end of the header, you will either see the word "header" or the words "odd page header" or "even page header"
If you have odd and even pages set up, you need to make sure that you have chosen to have page numbers on both the odd and even page headers, not just one. If you are merely putting page numbers in the headers, then you can choose to turn off "different odd and even pages", and page numbers will show on the whole document. The reason for having odd and even pages different, is so you can have page numbers/header info different or differently placed on odd/even pages. Hope that helps, there's stuff about it in the help pages if you check out 'different odd and even pages.'
